The short answer
Visa agency software should hold every client file in one place, read and cross-check the papers, flag edited documents, draft the cover letter from the evidence and build the upload pack in the visa centre's order, while your staff approve every step. Pick one that never edits papers, never predicts decisions and keeps client data under your control.

Key takeaways
- Visa agency software has three layers: tracking each file, checking the papers and producing the drafts and upload pack.
- The checks that prevent refusals are cross-checks of names, dates, passport numbers, money and the travel plan across every paper.
- Edited-paper flags should come from the file's own record and read as a request for the original, never as an accusation.
- Software must never create or alter a paper or predict a decision, and a person on your side should approve every draft.
- Per-file pricing suits visa work because an agency's volume rises and falls with the season and with embassy rules.
Visa agency software is the system your team uses to take in a client's papers, check them, write the letters and build the upload pack, with a record of who did what and when. If your agency in Dhaka, Chattogram or Sylhet still runs on WhatsApp chats, a shared Excel sheet and one senior caseworker's memory, this guide is written for you.
It covers what the software should check, what it must never do, the questions worth asking in a demo, and where an AI caseworker such as Visolv fits.
What is visa agency software?
Visa agency software is a workspace for running client files from the first enquiry to the embassy's decision. Good software does three jobs: it tracks each file and who it is waiting on, it reads and checks the papers, and it produces what goes to the embassy, from the cover letter to the upload pack in the centre's order.
Most systems sold to Bangladeshi travel agencies do only the first job, and often only the money side of it: ticket sales, invoices, sub-agent balances. They were built for air ticketing. A visa file's value sits in forty or fifty papers that have to agree with each other, and the costly mistakes happen inside those papers, not in the ledger.
So when you compare tools, keep the three layers apart. A visa CRM for agencies tells you where files stand. An AI visa caseworker reads the file. The output layer turns a checked file into drafts and an upload pack. You need all three, and they need to share one record of the client so nobody types the same passport number twice.
Why do WhatsApp and Excel stop working?
They stop working when the open files outgrow what one person can hold in their head. At ten files a month a good caseworker remembers which client still owes a solvency certificate. At forty, papers sit in four different chats, two staff ask the same client for the same leave letter, and nobody can say which files are late.
The cost shows up in refusals. Over the twelve months to June 2026, UK officers turned down 21,418 Bangladeshi visitor applications against 17,568 visas granted, so more than half failed (54.9%, Home Office outcomes data). For Schengen, 54.5% of the 38,642 applications lodged in Bangladesh in 2025 were not issued (European Commission statistics).
Many of those files failed on papers that disagreed: a salary on the form that is not the salary on the tax return, leave that ends before the return flight, a sponsor whose statement does not show the money the letter promises. None of that is hard to catch. It is hard to catch at volume, on a Thursday evening before a Sunday VFS slot, with three clients messaging at once.
What should visa processing software check in a file?
Visa processing software should check that every paper in the file agrees with every other paper and with the application form: names, dates, passport numbers, money and the travel plan. Each finding should point to the page it came from, so a caseworker can confirm it in seconds instead of reading the whole file again.
- Names and spellings across the passport, NID, birth and marriage certificates, bank statement and employer letter, including the spelling variants Bangla names produce in English.
- Passport details on every paper that carries them, and the passport's validity against the trip.
- Dates: trip dates against approved leave, the solvency certificate's date against the statement's last day, letters dated before the events they describe.
- Money: balances against declared income, large credits in the months before applying, and whether the salary on the employer letter actually arrives in the account.
- Sponsors: what the invitation or sponsor letter promises against what the sponsor's own statement and status papers show.
- The paper itself: whether a bank statement, ticket, booking or tax paper was produced in a word processor or a phone PDF app, was changed long after it was made, or has already turned up in another client's file.
That last check matters more each month. Thirteen diplomatic missions in Dhaka were reported to have issued a joint warning on forged papers in April 2026. Our guide to spotting an edited bank statement explains what a file's metadata can tell you and where it stops.
How does an AI visa caseworker work?
An AI visa caseworker reads the papers the way a careful senior caseworker would, then leaves every judgement to your staff. In Visolv a file moves through five steps you can watch, and nothing reaches the client or the pack until a person at your agency has approved it.
- 1
Papers come in
The client opens your agency's link, or a one-time code sent to their phone, and photographs the papers on their checklist. If you have connected a WhatsApp Business Platform number, photos sent there land in the file too, each in its paper slot.
- 2
The case sheet is built
Visolv reads every paper, from the passport and six-month statement to the trade licence, tax return and sponsor letter, and puts the facts on one case sheet.
- 3
The file is checked
Findings show as a traffic light of red, amber and green. Each has a fix button, such as asking the client for the bank's original, and an "It's fine: add a reason" button for when your caseworker's judgement says it does not matter. One Next step button names the single most useful action.
- 4
Drafts are written
The cover letter, itinerary, funds explanation, form answers in the order of the official form and the client checklist are drafted from the papers, each sentence tied to the paper and page behind it. Your caseworker approves each draft, then the client approves it.
- 5
The pack is built
The upload pack comes out as a zip in the visa centre's order with a manifest, every page exactly as the client sent it. For the UK that means the VFS sections in code order, as our VFS self-upload walkthrough shows. Your staff submit it, as they always have.
For walk-ins the same check runs live while the client sits at your desk, so you can tell them on the spot which papers to bring back before they leave the office.
What should the software never do?
It should never create, edit, backdate or tidy up a paper issued by someone else, and it should never tell you or your client what the embassy will decide. A tool that does either puts your agency's name on the line: a UK refusal for deception carries a 10-year ban (Immigration Rules, Part Suitability).
Be wary of any tool that offers to redo a statement's layout, write an employer letter for the client to sign or print a flight booking. Those are not features. The software's job is to make real papers easier to check, and to say plainly when one needs replacing.
How is visa agency software priced?
Visa agency software is usually sold in one of three ways: a yearly licence, a monthly fee per staff seat, or a fee per file. Per-file pricing tends to suit visa work best, because your volume swings with the season and with embassy rules, and a quiet month should cost you less than a busy one.
Visolv charges per file from a prepaid wallet. There are no seat fees, staff accounts and the client portal are free, and your first files are free so you can try it on real clients. Current rates are on our pricing section. Your own client fee does not change: you set it and collect it the way you do today.
Which features matter, and what to ask in a demo
Take this table into any demo, ours included. The right-hand column is the question that separates a working feature from a slide.
| Feature | What it means on a real file | Ask in the demo |
|---|---|---|
| Paper reading | Every paper becomes fields on one case sheet: names, numbers, dates, balances | Read this phone photo of a trade licence in front of me |
| Cross-checks | Papers compared with each other and with the form, the page cited for each finding | When I click a finding, does it open the page? |
| Edited-paper flags | Signals from the file's own record, worded as a request to the client | What does it say about a statement made in Word? |
| Drafts | Cover letter, itinerary, funds note and form answers written from the papers | Which paper backs this sentence? |
| Upload pack | Files split, ordered and named the way the visa centre's portal expects | Build a UK pack and show me the order |
| Client portal | Clients send papers and approve letters on their phone, under your brand | Whose name does my client see? |
| WhatsApp intake | Photos a client sends on WhatsApp land in the right file | Is this Meta's official platform or a phone left on in the office? |
| Stages and roles | Who each file waits on, late files, staff permissions, branches, sub-agents | Can a sub-agent see another sub-agent's clients? |
| Data handling | Where papers are stored, who sees them, when they are deleted | Where is the server, and what happens after the decision? |
Where does the client data live?
Ask this early, because you hold passports, NIDs and bank statements for hundreds of people. With Visolv the data stays in Bangladesh on the company's own servers, each agency sees only its own files, and papers are deleted 90 days after the decision unless you place a legal hold. Every view, download and edit is logged.
The AI reads papers with Anthropic's Claude models, and a person at your agency approves every file before it moves on. Inside the agency you decide who sees what through owner, admin, caseworker, branch and sub-agent roles. Client payments, advances you pay on their behalf and receipts sit on the same file.
How do you roll it out without stopping work?
Start with one route your team knows well and a handful of new files, owned by one caseworker. Run them your usual way alongside the software for the first week, and compare what it caught with what your checklist caught. The UK Standard Visitor pack is the natural first route, because it is verified against a real file submitted through VFS Dhaka on 28 October 2026; our UK visa guide covers that route from the applicant's side.
- Week one: new UK visitor files only; papers through the client portal; your caseworker clears every red and amber.
- Week two: add a Schengen route, and treat the pack's "draft, check with the embassy" label as an instruction.
- Week three: connect WhatsApp so photos stop living in staff phones, and let the automatic reminders chase files that have waited on the client for more than three days.
- From then on: record every decision and the refusal letter's reasons on the file.
After 30 recorded decisions on a route, Visolv shows your agency's own approval rate for it, a more honest number than any claim on a Facebook page. Our guide to cutting refusals at your agency covers the habits that move that number, and the piece on WhatsApp intake for visa agencies covers the messaging side.
The test of any visa agency software is plain: does a tired caseworker on a deadline catch more of what an officer will notice? Judge every tool on that, ours included.
Visolv now also offers interview practice for US B1/B2 visitor clients (F-1 students next), under your agency's brand: a short course built from the client's own file, practice window interviews with an AI officer by voice or text, and feedback in Bangla. Answers that contradict a paper become checks on the file, and it never promises a visa. Our playbook on how agencies prepare clients for the US visa interview covers the honest way to run it.
Frequently asked questions
Is visa agency software worth it for a small agency?
It pays off once you handle more papers than one person can check carefully, which for most agencies comes somewhere past a dozen hard-visa files a month. Below that, a strict checklist may be enough. Per-file pricing helps small agencies because a quiet month costs little, and free staff accounts mean you can add a part-time caseworker without paying for another seat.
Does Visolv submit visa applications for my clients?
No. Visolv prepares and checks the file and builds the upload pack, but your agency or the applicant submits the application on the government portal and books the visa centre appointment. Visolv never contacts your clients on its own behalf and never sells to applicants, so the client, the visa centre relationship and your service fee all stay with your agency.
Will my clients see the Visolv name?
No. The client portal opens from your agency's link or a one-time code sent to the phone you registered, and it shows your agency's name, colour and WhatsApp. Clients see the papers they still owe, the cover letter to approve, your messages, the appointment and the decision. There is no Visolv branding and no Visolv price anywhere in the portal.
Can visa agency software tell me if a client will get the visa?
No honest software can, and Visolv does not try. It tells you what in the file is inconsistent, missing or likely to raise an officer's questions, with the page each finding comes from. The decision belongs to the embassy. What you can measure is your own approval rate per route, which Visolv shows once you have recorded 30 decisions on that route.
Which destinations does Visolv cover today?
The UK Standard Visitor pack is verified against a real file submitted through VFS Dhaka on 28 October 2026. Packs for Schengen visitor visas to Italy, France, Germany, Spain, the Netherlands and Sweden, Canada and Australia visitor visas, US B1/B2, and easy visas such as Thailand, Malaysia, India, the UAE and Sri Lanka are marked draft until an analyst verifies them.
What happens to client papers after the decision?
Papers are deleted 90 days after the decision unless your agency places a legal hold on the file, for example during an appeal or a complaint. Until then they stay in Bangladesh on Visolv's own servers, only your agency can see them, and every view, download and edit is logged, so you can always see who opened which paper and when.
